Panduan Kegiatan Meeting Saat Pandemi

Menyelenggarakan kegiatan meeting atau konferensi di masa pandemi memang susah-susah gampang. Sejumlah prosedur harus dilewati, supaya kegiatan tak berujung menjadi klaster kasus Covid-19.

Bagi penyelenggaraan kegiatan MICE, mengadakan meeting atau konferensi di masa pandemi memang melewati proses yang lumayan panjang. Untungnya penyelenggara MICE tak berkeberatan, semangatnya demi keamanan bersama, dan keberlangsungan industri MICE di masa depan.

Setidaknya, di masa pandemi ini, penyelenggara kegiatan MICE mesti melalui sejumlah prosedur berikut.

Pertama, penyelenggara kegiatan MICE mesti menyiapkan konsep pengamanan dan pelaksanaan CHSE. Mulai dari siapa saja orang yang terlibat di dalamnya, bagaimana proses keluar masuk barang, lalu jika terjadi kerumunan bagaimana skenarionya.

Konsep ini akan dijelaskan di depan Satgas Covid-19, TNI-Polri, Satpol PP, Kemenparekraf, BNPB, dan perwakilan dari Departemen Kesehatan.

Kedua, untuk kegiatan meeting atau konferensi, penyelenggara sebaiknya menyediakan tes usap antigen bagi peserta yang datang. Ini untuk meminimalisir risiko penularan Covid-19.

Ketiga, memastikan peserta meeting atau konferensi hanya separuh dari kapasitas ruangan yang digunakan. Penyelenggara bisa juga menggunakan sistem pindai barcode bagi peserta saat datang dan pulang. Ini berguna untuk memastikan jumlah orang yang masuk dan keluar.

Selaras dengan itu, Asosiasi Perusahaan Pameran Indonesia (Asperapi) juga sudah mengeluarkan panduan kenormalan baru menggelar acara bagi penyelenggara kegiatan MICE.

Panduan yang mencakup empat aspek ini telah diselaraskan dengan panduan dari Kementerian Kesehatan. Keempat aspek tersebut antara lain:

  • Higienitas:

Kewajiban menerapkan kebersihan, menyediakan fasilitas medis, ruang isolasi, dan tenaga kesehatan. serta menyediakan peralatan dan perlengkapan pelindung diri sesuai protokol kesehatan.

  • Menjaga jarak:

Meliputi pengaturan jarak aman dan ruang gerak orang yang terlibat dan pengendalian keramaian selama kegiatan berlangsung.

  • Pelacakan:

Terkait registrasi daring dan luring, juga pengaturan sistem pembayaran, serta pendataan dan pelacakan orang yang terlibat dan hadir dalam kegiatan.

  • Tanggung jawab sosial:

Dengan membantu satuan tugas (satgas) Covid-19 serta memberlakukan sanksi bagi yang melanggar peraturan di kegiatan MICE.

The Guide to Hold A Meeting During the Pandemic

Organizing a meeting or a conference during the pandemic is tricky, indeed. There are some procedures to follow so that the activities won’t cause a cluster of Covid-19 cases.

For organizing MICE activities, holding meetings or conferences during the pandemic has gone through quite a long process. Luckily, the MICE organizers didn’t mind it as their efforts were all for our safety and the sustainability of the MICE industry in the future.

In this pandemic, MICE organizers should at least go through the following procedures.

First, MICE organizers should prepare the concept for CHSE implementation and how to keep an eye on it. Starting from the people who are involved, the process of getting the goods in and out, and the back-up plan if there happens to be a crowd.

This concept will be presented in front of the Covid-19 Task Force, TNI-Polri, Satpol PP, the Ministry of Tourism and Creative Economy, BNPB (Indonesian National Board for Disaster Management), and the representatives from the Ministry of Health.

Second, for meetings or conferences, the organizers should provide an antigen swab test for the participants. This is to minimize the risk of Covid-19 transmission.

Third, it should be ensured that only half of the room’s capacity is used. The organizers are also able to use a barcode scanning system to track the mobility of the participants during the meeting. This is useful for ascertaining the number of people who come and go.

In relation to that, the Association of Indonesian Exhibition Companies (Asperapi) has also issued new normal guidelines for conducting MICE events.

This guide covers four aspects that have been coordinated with the guidelines issued by the Ministry of Health. These four aspects are:

  • Hygiene:

Maintaining cleanliness, providing medical facilities, isolation rooms, and health workforces as well as providing personal protective equipment according to health protocols are necessary.

  • Social Distancing:

Setting a safe distance and space for the people involved and controlling crowds during the meeting.

  • Tracking:

Regarding online and offline registration, payment system arrangement, and tracking and collecting the data of the participants and the people who are involved in the meeting.

  • Social Responsibility:

By assisting the Covid-19 task force and imposing sanctions for those who violate the regulations on the spot.
